A friend of BTI recently introduced us to a potential client, a law firm, who needed to move in December. Two months is a very small window to take on a move like this as moving a law office involves more than desks and boxes. Client files, court deadlines and access to technology all need attention.
For most office moves, especially law firms, we prefer four months to plan.
Wanting to be helpful to the law firm for their December move, we provided a list of seven things to plan their move now.
☐ Choose your timing carefully. Review court appearances, filing deadlines, staff vacations and holiday closures before setting the moving schedule.
☐ Plan for client files. Decide who will pack, label, transport and receive paper records. Keep files needed during the move accessible, and avoid putting client names on exterior labels.
☐ Coordinate your technology. Work with your IT provider on internet service, phones, servers, backups and access to case management systems. Schedule testing before employees arrive.
☐ Confirm building requirements. Check elevator reservations, loading access, insurance requirements and permitted moving hours at both locations.
☐ Map the new office. Assign offices, workstations, file storage and equipment locations so movers know where everything belongs.
☐ Communicate the change. Plan address updates for clients, courts, vendors, your website and other professional listings. Arrange mail forwarding.
☐ Prepare for December weather. Discuss access, floor protection and a backup plan if winter conditions affect the schedule.
